How do I address it without embarrassing them?”

People rarely choose to struggle with hygiene — sometimes it’s medical, financial, cultural, or situational. We don’t know the story until we approach the person with empathy instead of shame.

Here’s a simple HR-aligned approach:

Step 1: Choose privacy
Never address hygiene issues in front of others. This conversation deserves discretion.

Step 2: Lead with care, not accusation
“Hey, I’ve noticed something I’d like to check in on — are you okay?” opens a door instead of slamming one.

Step 3: State the concern neutrally
Focus on impact, not judgment:
“There have been comments/concerns about body odor and it may be affecting your interactions at work.”

Step 4: Allow space for context
Give them a chance to explain — medical issues, stress, finances or cultural considerations might be at play.

Step 5: Clarify workplace expectations
All workplaces have hygiene standards, formally or informally. It’s okay to name them.

Step 6: Support, don’t shame
Where possible: recommend resources, HR support, or reasonable adjustments.

Step 7: Document the conversation
Not as punishment — just to protect fairness if the issue persists later.
